1. Introduction
This Privacy and Security Policy (“Policy”) sets out LTR Minicab’s commitment to protecting personal data and safeguarding privacy in strict compliance with the General Data Protection Regulation (GDPR), the Data Protection Act 2018, and all applicable Transport for London (TfL) licensing conditions.
2. Operator Responsibility and TfL Compliance
In accordance with the Private Hire Vehicles (London) Act 1998 and as clarified by the Divisional Court ruling dated 6 December 2021, a contract is formed directly between the customer and LTR Minicab at the time of booking.
We may fulfil this obligation using self-employed, licensed private hire drivers operating under our dispatch.
Passengers do not enter into a separate contract with the driver.
3. Nature of Service
LTR Minicab operates as a Transport for London-licensed Private Hire Operator. We arrange and manage private hire journeys, which are carried out by self-employed, fully licensed drivers. The Company is responsible for handling all aspects of the booking, including dispatch, customer service, and payments.
4. Booking and Confirmation
Bookings can be made via our website, phone, or messaging services.
A booking is only confirmed once you receive a booking confirmation via email, SMS.
We reserve the right to refuse or cancel any booking at our discretion.
Customers are responsible for providing accurate pickup, drop-off, and contact information.
5. Pricing, Payments, and Charges
All fares are quoted in GBP and are inclusive of applicable charges (e.g. VAT on booking fees, if applicable).
The price quoted at the time of booking is fixed and includes our booking/dispatch fee.
Payments can be made via credit/debit card online or over the phone.
We collect the full fare, deduct our commission, and transfer the remaining balance to the driver performing the journey.
6. Cancellation and Refund Policy
Full refunds are issued for cancellations made more than 12 hours before the scheduled pickup time
Cancellations within 12 hours are non-refundable, except in the case of verified flight cancellations.
Refunds are processed within 5 working days to the original payment method.
7. Vehicle Selection and Passenger Responsibility
It is the customer’s responsibility to select a vehicle suitable for the number of passengers and amount of luggage.
If you are unsure, please contact our customer support before booking.
Drivers reserve the right to refuse service if the vehicle is overloaded or unsuitable.
8. Waiting Time and No-Show Policy
For airport pickups, we include 45 minutes free waiting time after the flight lands.
For all other locations, 15 minutes free waiting time is included.
After the free period, waiting time is charged at £8 per 20 minutes.
A booking is considered a No-Show if the passenger fails to arrive within the free period without prior notice, and the full fare is chargeable.
9. Delays and Liability Disclaimer
While we aim to provide timely service, we are not liable for delays caused by traffic, weather, road closures, or events beyond our control.
We are not responsible for any missed flights, trains, or appointments due to such delays.
The journey is performed by an independent self-employed driver; however, the contractual obligation remains with LTR Minicab.
10. Lost Property
Drivers and the Company will make reasonable efforts to return lost items.
Any return costs (e.g. postage or re-delivery) are the responsibility of the customer.
LTR Minicab accepts no liability for loss or damage to personal belongings.
11. Passenger Conduct
All vehicles are non-smoking.
Passengers must behave respectfully toward drivers.
Aggressive, abusive, or intoxicated behaviour may result in cancellation of the journey and refusal of service.
Fouling the vehicle (e.g. vomiting) will result in a minimum cleaning charge of £25.
12. Pets and Assistance Dogs
Assistance dogs are welcome in all vehicles.
Other pets are allowed only with prior notice and must be secured appropriately.
13. Child Seats
Child seats can be requested in advance but are not guaranteed.
Customers are welcome to bring their own child safety seats.
14. Data Protection and Privacy
We process all personal data in accordance with the UK General Data Protection Regulation (UK GDPR).
Your information is used solely for the purpose of managing your booking and delivering our service.
We do not sell or share your data with third parties, except as required by law.

15. Direct Bookings with Drivers
All bookings must be made through LTR Minicab.
It is strictly prohibited to book journeys directly with our drivers.
Breach of this condition may result in legal action and/or a penalty fee of £6,000.
16. Amendments
We reserve the right to update these Terms & Conditions at any time. The most current version will be published on our website and will apply to all bookings made thereafter.
